Deposit & Payment

Deposit & Payment Terms:

• Charter from 05 cabins up to 10 cabins:
  • Non-refundable deposit upon confirmation: 30% of total charge
  • Full payment: 30 days prior to the cruise date
• Below 05 cabins:
  • Non-refundable deposit upon confirmation: 10% of total charge
  • Full payment: 07 days prior to the cruise date

Full payment of the accommodation package must be made no later than 30 days before sailing, for all Clients. Payment can be made either by bank transfer or by credit card (American Express, Visa, MasterCard, or JCB Card). Expenses incurred for on-board services and products shall be paid by the Client prior to disembarkation.

Guest Information & Confirmation

Clients are required to submit the passenger list and personal details at least one day before the cruise date. This information should include arrival and departure dates, number of cabins and passengers, passenger names, passport and visa numbers, selected cabin categories, and special requirements. All passengers must embark with a valid passport.

Amendments & Cancellation

Cancellation Charges:

• Charter from 05 cabins up to 10 cabins:
  • More than 30 days prior: Loss of deposit or 30% of total cost
  • 10 to 30 days prior: 70% of each cancelled cabin
  • 06 to 09 days prior: 100% of each cancelled cabin
  • 05 days or less prior: 100% of each cancelled cabin
  • No-show: 100%
• Below 05 cabins:
  • More than 30 days prior: 0%
  • 10 to 30 days prior: 30% of each cancelled cabin
  • 06 to 09 days prior: 50% of each cancelled cabin
  • 05 days or less prior: 100% of each cancelled cabin
  • No-show: 100%

Cruise Cancellation Due to Bad Weather Conditions

Cruising in Halong Bay is regulated by the Halong Bay Port Authority. In case of bad weather, the Port Authority may limit or cancel cruising. VIT Halong will offer alternatives and refunds based on the situation.

Refund for Unused Services

All cruise and related travel documents must be submitted to VIT Halong before a refund can be considered. Partial use of cruise, airfare, hotel, and land extensions does not qualify for a refund.

Transportation

Transportation Hanoi – Halong – Hanoi:

• Shuttle bus (luxury Ford 16-seater van for 6-8 people): USD40/seat or VND 900,000
• Private car (16-seat max): USD250-350/car/round-trip
• Estimated departure time from Hanoi: 7:30 AM – 8:00 AM
• Estimated return time to Hanoi: 4:00 PM – 4:30 PM

Policy on Children

1. Children under 5 years of age: Free of charge (maximum 01 child per booking)
2. Children from 5 to 11 years of age: USD30 per person
3. Children 12 years of age and older: Charged as adults
4. Toddler cots: Free of charge, subject to availability
5. Two children under 12 years of age sharing a private cabin: Charged at 75% of full cabin rate

Vouchers / Coupons

Vouchers will be issued by VIT Halong by e-mail/fax to Clients after the reserved trip is confirmed and payment is completed.

Liability & Insurance

On-board insurance covers basic accidents on the vessel only, as required by Vietnamese law. It is strongly recommended that Clients purchase their own appropriate insurance before departing for Vietnam. VIT Halong does not provide insurance for personal injury, luggage loss, or medical evacuation.

Other Terms & Conditions

• Late Arrival: The Client is responsible for timely transfer to and from the ship. In case of late arrival, a tender service can be arranged at an extra charge.
• Force Majeure: VIT Halong shall not be held responsible for circumstances beyond reasonable control.
• Transfer of Guests: If VIT Halong is unable to provide cruise services, they will arrange transfer to another cruise operator.
• Taxes, Service Charges, Fuel Cost & Entrance Fee: VIT Halong reserves the right to adjust rates due to changes in taxes, service charges, fuel costs, and entrance fees.
• Confidentiality: All rates quoted are confidential and not to be disclosed to third parties.
• Termination of Agreement: VIT Halong reserves the right to terminate the agreement with two months’ prior written notice.

In the event of a dispute, the law of Vietnam shall apply.
